Waitlist

Fully booked no longer means lost.

When a slot is full, your guests join the waitlist instead of booking next door. As soon as a table frees up, EatNow offers it to them and fills it, automatically or in one click.

Cancellations & no-shows

Every cancellation finds a taker.

Fully booked at 8 PM, a cancellation at 7: without a waitlist, you lose twice. The guest you turned away went elsewhere, and the table stays empty. With EatNow, the extra demand fills the gap.

Three release modes

You decide how the spot is given away.

Service by service, pick the mode that fits your venue. Start in manual and switch to automatic once you trust the flow.

Mode 1 · Manual

You pick who gets it

Nothing goes out on its own. Your team sees the queue and offers the table to whoever they want: a regular, the party that fits the freed table exactly.

  • #1Sofia E. Waiting
  • #2Hugo L. Waiting
  • #3M. Alami Spot offered

Best for: venues that want to decide case by case.

Mode 2 · Notify all

First to confirm wins

Every guest waiting for the slot is notified at once, to fill the table as fast as possible.

  • #1Sofia E. Spot taken
  • #2Hugo L. Confirmed
  • #3Nour K. Spot taken

Best for: busy services, where speed matters more than order.

Mode 3 · In order

First come, first served

Guest #1 gets the spot to themselves for their priority window. No answer? It moves to the next in line, automatically.

  • #1Sofia E. Expired
  • #2Hugo L. Confirmed
  • #3Nour K. Waiting

Best for: a premium, "you're next in line" experience.

For your guests

A wait that does your venue justice.

On a full slot, your booking portal shows "Join the waitlist" instead of a dead end. Guests sign up in under a minute, then everything happens on their phone.

  • Notified by WhatsApp and email

A sign-up confirmation, then a single button when a spot opens: "Confirm my spot". A personal link lets them track or cancel their request at any time.

  • Nothing charged to join

Prepaid menu, deposit or card hold: payment is only requested when they confirm a spot, never just to wait.

  • In your colours

Messages use your portal colours and your custom templates, in French and in English.

For your team

Your team stays in control.

Automation where it helps, a human call where it matters. The waitlist lives in your service screens, with no extra tool.

The queue, live

A Waitlist tab with a live counter in your reservations, a dedicated lane in the planning, and one click to offer the spot or convert it into a booking.

Time to react

After a cancellation, EatNow waits the delay you chose (up to 15 min) before releasing the spot: time to call a guest back or seat a walk-in.

No overbooking

Every confirmation goes through the same capacity checks as a booking, at the moment it happens. Two guests never get the same table.

The rank stays with you

Guests see their request is active, not their position. You stay free to favour a regular without breaking a promise.

Real demand

Finally see the guests you were turning away.

Every sign-up is demand your planning never saw. Ten people waiting every Friday at 8 PM is a strong signal: maybe it's time to add tables or a second seating.

FAQ

What restaurateurs ask about the waitlist

Can the waitlist cause overbooking?

No. Every confirmation, by the guest or by your team, goes through the same capacity checks as a regular booking, at the moment it happens. If the table was taken in the meantime, the guest is told and nothing is charged. Only your team can force a spot, knowingly.

Do guests see their position in the queue?

No, on purpose. They see their request is active, not their rank. Your team keeps the freedom to offer the table to a regular or to the party that fits it exactly.

Do guests have to pay to join the waitlist?

No. On a service with a deposit, card hold or prepaid menu, nothing is requested at sign-up. Payment only happens when the guest confirms an offered spot, just like a booking.

Can I turn it on for some services only?

Yes. The waitlist is set service by service: turn it on for Friday dinner and Sunday lunch, not Tuesday. For each service, you choose the release mode, the maximum queue size and the delay before release.

What if the guest doesn't use WhatsApp?

They're always notified by email when they left an address. WhatsApp is added if your integration is connected. Your team can also add a guest over the phone and confirm on their behalf when they call back.
